From a website to a webapp

A Houston area medical practice’s journey to win customers and keep them longer.

The project began with a straightforward question: what happens when a medical practice’s website is treated as part of the patient experience rather than simply an information resource? The Houston-area practice was dissatisfied with its existing Tebra website, which provided basic information but offered limited opportunities for patients to interact with the practice. We rebuilt the site as an integrated webapp and used the project to examine several points in the patient journey, including information access, appointment scheduling, and patient feedback.

The new webapp introduced two significant changes to the patient journey. First, an AI patient assistant was connected to a controlled knowledge base consisting of practice-approved documents and help articles. Patients could ask questions in natural language and receive answers grounded in information the practice had reviewed. Second, the appointment calendar was integrated directly into the webapp. Patients could either use a conventional scheduling interface or initiate the booking process through the AI assistant. This changed the interaction from a largely linear experience—find information, leave the site, call or schedule elsewhere—to a more integrated journey from question to answer to appointment.

The study also examined the practice’s existing patient feedback. We analyzed approximately 10 years of Google reviews, including reviews associated with both the practice and individual providers, using sentiment and thematic analysis. The overall star rating alone did not capture several recurring issues. The analysis surfaced actionable feedback relating to front-office interactions, prescription errors and delays, communication, callbacks, wait times, and other administrative aspects of the patient experience. In several cases, these issues were effectively hidden within otherwise positive five-star reviews. Presenting the findings by sentiment and recurring theme gave the practice a more detailed view of its patient experience and identified operational issues that would have been difficult to see from aggregate ratings alone.

Taken together, the project demonstrated that a practice website can serve two distinct functions: a point of access for prospective and existing patients, and a source of insight into their experience. The integrated webapp addressed friction in the forward journey by making information and scheduling more accessible, while the review analysis provided evidence about where the experience was breaking down. The result was less a conventional website redesign than an examination of how digital tools could connect patient access, engagement, and operational insight.
